Marketing Operations

Marketing operations is the machinery behind campaigns: lifecycle stages, lead scoring, attribution, forms, events and the database they all depend on. As part of our fractional GTM ops team, we run it on HubSpot every month, so marketing can tell a serious buyer from a curious click and knows which channel produced pipeline.

The usual failure is not a missing tool. It is a database nobody owns: contacts without a lifecycle stage, sources overwritten, duplicates arriving with every import, and a scoring model nobody trusts. Campaigns still go out, but nobody can say which ones worked. We fix the foundation first, then keep it clean while the team runs campaigns on top, so reporting survives the next rebrand, event or list import.

How do you tell a serious buyer from a curious click?

With scoring on two dimensions: fit, meaning how close the company and the person are to your ICP, and engagement, meaning what they have actually done. Sales works the contacts that score high on both first.

For a security startup we wired brand and non-brand Google Ads traffic into the scoring model, so paid search stopped counting every branded visitor as a hot lead.

Can attribution survive a rebrand or a new channel?

It can if the first-touch source is captured and protected on every record. The same security startup went through a full company rebrand, and we rebuilt its campaigns under the new brand with tracking intact, and engineered conversion tracking without a Marketing Hub upgrade.

For a B2B SaaS company we added a new attribution category for leads that arrive from ChatGPT and Claude, so AI referrals show up in the budget conversation instead of hiding under direct traffic.

How do events become pipeline?

By treating the event as a channel with its own tracking. For a cybersecurity startup we tracked every booth interaction to a CRM record with QR codes and UTMs, routed leads by region, and recovered no-shows automatically with reassignment, alerts and a reschedule view.
