The problem
No one knows what emails go to which contacts and when, or if they overlap.
What this looks like in practice
Every automated email in the portal gets mapped onto one 30-day timeline per contact type: marketing sequences, sales touches, CS onboarding, billing notices. Collisions and dead zones become visible in a single view, usually for the first time.
The deliverable is a conflict list ranked by damage: who gets hit by overlapping sends, which emails fire on stale triggers, and what to pause today versus rebuild properly. Fixes are usually a day of work once the map exists; finding them without the map is what nobody has time for.
This project is part of our HubSpot Audit work.
A HubSpot audit is a structured review of your instance against the revenue process it is supposed to serve. We examine the data model, lifecycle stages, scoring, automation, and reporting, then hand you findings ranked by what each one is costing you. It takes about two weeks.
How we work
01 / Audit
1–2 hrs
We start by understanding your current state.
Before building anything, we map what exists today: your tools, your data, your processes, and where the gaps are. This shapes everything downstream.
Current stack and integrations reviewed
Process gaps and bottlenecks identified
Success criteria defined with your team
02 / Build 25-45 hrs
We build the system and get it live.
Implementation is hands-on: we build directly in your tools, not in a sandbox. You see real outputs at every step, not mockups.
Full implementation in your existing stack
Data quality verified before going live
Team walkthrough and handoff documentation
Outcome. Hidden conflicts found, measured against your baseline from the audit phase.
03 / Expand
scoped after live
Once live, we identify what to build next.
Most projects open up adjacent work once the core is running. We scope expansion work after seeing real results, not before.
